The Learning Tree

A daycare's website rebuilt as the front door to its operation — tours, enrollment, hiring, parent requests, and the staff's daily coverage board, all on one set of records.

Before — scattered

Tours and enrollment ran through phone calls; the day's staffing plan lived in a shared doc.

The setting

The Learning Tree is a daycare and preschool in Minot, North Dakota, caring for children from six weeks to twelve years. Every day depends on the right staff being in the right rooms, and every week brings tour requests, enrollments, job applicants, and parent notices.

The people

Director

Plans staff coverage every day and handles enrollment, tours, and hiring.

Classroom staff

Need to know where they're needed right now — without asking.

Parents

Book tours, enroll, and send notices like vacations without a phone call.

Applicants

Apply with a résumé, or build one on the spot.

The disconnected condition

Before: a website that couldn't see the business.

  • The website was static pages — every tour request and enrollment became a call or email someone retyped.
  • The day's staffing plan lived in a shared document that classrooms couldn't watch change.
  • Parent notices arrived by text, paper, and word of mouth.
  • Hiring ran through email attachments.
The connected workflows

After: one system from the website to the classroom.

A tour booked on the site lands on the director's dashboard with a real time slot. Enrollment checks live openings and places families on the waitlist. The day's coverage is edited once and shows live on every classroom's screen.

What Kevin built

The Daily — a live staff-coverage board

Replaced the director's shared doc: she edits the day, and every classroom screen updates within seconds.

Online tours, enrollment, and waitlist

Families book and enroll against real availability; start dates and waitlist come from live data.

Careers and parent requests

Applications and parent notices go straight to the right screen instead of an inbox.

Text messaging done properly

Carrier-approved SMS programs with consent tracking, and STOP and HELP handled automatically.

What the work proves

That a small business's website can be the front door to its whole operation — and that the screens staff use every hour can feel as fast as the document they replaced.

We describe scope and workflows only. No performance metrics, revenue figures, or testimonials are published for this project.

Have a website that can't see your business?

That's exactly the kind of gap a Working Session is built to find — and to plan the way across.
